Preparing for Your Meeting: Pre‑Meeting Checklist

Before you enter your meeting space, it helps to take a moment to get set up. A few small steps ahead of time can make your meeting run more smoothly and allow you to stay focused on your peers instead of your tools. This checklist is designed to give you a steady, predictable routine you can rely on before every meeting.

1. Open your meeting materials

Have everything you plan to use ready and visible:
  • Slides or handouts (PowerPoint, PDF, etc.)
  • Notes or scripts
  • Videos or web pages
  • Any prompts or reminders you rely on  

2. Arrange your windows

Make sure you can easily access both your meeting room and your materials.
  • Keep the meeting room visible
  • Resize documents or browser windows so they don’t cover your meeting controls
  • Close anything you don’t need 

3. Check your environment

  • Choose a quiet, private space
  • Adjust lighting so your face is visible
  • Close unnecessary apps or browser tabs
  • Silence notifications on your device 

4. Confirm your audio and video setup

  • Test your microphone and camera
  • Ensure your browser has the correct permissions
  • Keep a backup headset nearby if possible

5. Prepare your browser

  • Use a supported browser (Chrome recommended)
  • Close unused tabs
  • Make sure your internet connection is stable 

6. Keep your facilitation notes nearby

Open them in a small window or keep a printed copy next to you.

7. Take a moment to ground yourself

A brief pause helps you begin the meeting with presence and calm.
