How to join your meeting
Your meeting is just a few clicks away
All HeyPeers meetings take place online via secure video conferencing. A Join button will appear shortly before your meeting's scheduled start time, and you can find it in one of three convenient locations: the My Meetings page, your Member Dashboard, or the reminder email sent two hours before your meeting begins. Once you click Join, the entry process may differ slightly depending on the platform or whether a waiting room is being used—we’ll walk you through each step below.
Step1: Find the Join button
You’ll see a Join button appear shortly before your meeting's start time. You can find it in any of these locations:
My Meetings page

Member Dashboard
Log in to your HeyPeers account. If you're not already viewing the Member Dashboard, select Dashboard from the top menu bar.

Reminder email
If your account has email notifications enabled, you’ll receive a reminder email with the subject line “HeyPeers meeting reminder.” These emails are sent approximately 2 hours before your meeting begins and include a Join Meeting button.
Click Join Meeting in the email, and you’ll be taken to the HeyPeers website. If you're not already signed in, you’ll be prompted to log in first—then you'll be guided straight to the meeting entry page.

Step 2: Entering the meeting
After clicking Join, you’ll be taken to a meeting entry page. This page may look different depending on which platform is used—either Zoom or HeyPeers—and whether a waiting room is enabled.
Tip: You can check your meeting platform by reviewing the meeting tile on your My Meetings page. It will indicate whether your session is hosted via Zoom or a HeyPeers embedded meeting.

Below are the entry screens you will encounter based on meeting platform and waiting room use.
HeyPeers embedded meeting
Without waiting room
You’ll see the following screen when joining a HeyPeers embedded meeting without a waiting room.
Input your display name. This name will be what other participants see in the meeting. Click on Continue to Meeting to enter the meeting space.

With waiting room
You’ll see the following screen when joining a HeyPeers embedded meeting with a waiting room.
You won't be able to change your display name at this stage. Instead, you will be brought into the meeting with your username. Select Request to join to let the host know that you've entered the waiting room.

The screen changes as you wait to be let into the meeting.

The host will admit you into the meeting once your registration is verified.
Zoom meeting

You’ll see the following screen when joining a Zoom meeting without a waiting room.
Input your display name. This name will be what other participants see in the meeting. Click on Join Meeting to enter the meeting space.

With waiting room

Your display name will default to your first name followed by “– Participant.” This helps the host confirm your registration before admitting you to the meeting. Once inside, you can update your display name.
Click Enter Now to enter the waiting room.

While you wait, you’ll see the following screen.

The host will admit you into the meeting once your registration is verified.
Joining late? Here’s what you should know
Joining on time is very important. Many meetings begin with a Check In step, which helps shape the session based on everyone’s needs and supports a respectful, safe environment for all. After this step, some group leaders and peer supporters choose to close the meeting to late arrivals to preserve group flow and reduce disruptions.
If you try to join after the Check In has ended, you may not be admitted. Some group leaders and peer supporters do allow latecomers, so it’s still worth attempting to join. If you aren’t admitted, please know you’re always welcome to try again next time.
Your presence matters and arriving on time helps make the most of your group experience. Thank you for respecting group boundaries and supporting a focused, inclusive, and respectful meeting environment.
