Setting Up Your Availability Calendar
Peer Supporters can now set up an Availability Calendar to make scheduling one‑on‑one sessions faster and easier. Once your calendar is configured, members will be able to choose from your available dates and times when booking a session or accepting a proposal — no more back‑and‑forth messaging.
- Members can instantly select a time that works for them
- You won’t need to negotiate dates and times
- Your schedule stays organized and predictable
- You can sync with Google Calendar to avoid double‑booking
How to Configure Your Availability Calendar

The Availability page is displayed.
Note: You will see the warning "Not bookable yet. Add your weekly hours." when first entering the page. This warning disappears as soon as you add your hours.

The Availability page has five important sections.
1. Weekly Hours
When you click Add your hours, you’ll see a weekly schedule with each day listed. For each day, click on Add to add one or more time windows (blocks of time when you’re available).

- 9:00 AM – 11:00 AM
- 3:00 PM – 5:00 PM
- 8:00 PM – 10:00 PM

2. Different Hours on a Date

🟢 Change Your Hours for One Date
You can set custom availability for a specific date.
For example, if you’re normally available 9 AM – 11 AM on Mondays, but next Monday you’re only available 3 PM – 5 PM, you can enter that here.
Only that date will use the custom hours.
All other dates will continue using your weekly hours.
🟢 Take the Whole Date Off
If you’re unavailable for the entire day, simply check Take the whole date off.
This removes all availability for that date, even if your weekly hours normally include time windows.

3. Booking Rules

This setting adds a required break after each session before the next one can begin.
It’s helpful if you need time to:
- wrap up notes
- reset emotionally
- prepare for your next meeting
- avoid back‑to‑back sessions without a pause
This determines how far in advance a member must book a session.
It prevents surprise, last‑minute meetings and gives you time to prepare.
Examples:
- If you set a 2‑hour minimum notice, members cannot book a session starting in less than 2 hours.
- If you set a 24‑hour minimum notice, all bookings must be at least a day ahead.
This controls how far into the future members can book sessions with you.
Examples:
- A 30‑day booking window means members can only book dates within the next 30 days.
- A 90‑day window allows bookings up to three months ahead.
4. Calendar Sync (optional)

🟢 What Syncing Does
- Busy times are automatically blocked
Any event marked as “busy” on your Google Calendar will be removed from your available time slots on HeyPeers. Members will not be able to book sessions during those times. - Your HeyPeers availability stays up to date
If you add a new appointment to Google Calendar, HeyPeers will automatically adjust your availability so you don’t have to update both places. - You avoid scheduling conflicts
If you already have a meeting, appointment, or personal commitment on your Google Calendar, HeyPeers will prevent members from booking over it. - Your weekly hours remain the foundation
Google Calendar sync doesn’t replace your weekly hours — it simply blocks out the times when you’re busy. Members can still book any open time within your weekly windows.
🟢 What Syncing Does Not Do
- It does not show your full Google Calendar to members.
- It does not import Google events into HeyPeers as sessions.
- It does not automatically add HeyPeers sessions back into Google Calendar (unless you manually add them).
- It does not override your weekly hours — it only blocks busy times.
🟢 Why Syncing Helps
Syncing is optional, but highly recommended because it:
- prevents accidental double‑booking
- keeps your schedule consistent across platforms
- reduces manual updates
- makes booking smoother for members
- ensures your availability is always accurate
5. Away Mode
When you turn on Away Mode, all of your weekly hours and date‑specific availability are hidden immediately. Members will not see any open time slots until the date you choose.
🟢How Away Mode Works
- All availability is hidden right away.
As soon as you turn it on, members will no longer see any of your time windows. - You choose the date when availability returns.
Use the “Away until” field to pick the day your schedule should become visible again. - Existing sessions stay exactly as they are.
Away Mode does not cancel or change any meetings you’ve already booked. Those sessions remain on your calendar. - Members cannot book new sessions during your away period.
Your calendar will appear fully unavailable until the “away until” date.
🟢 When to Use Away Mode
Away Mode is helpful when you:
- are taking a vacation or personal day
- need time off for appointments or travel
- want to pause new bookings while keeping existing sessions
- need a temporary break from one‑on‑one meetings
🟢Turning Away Mode On
- Locate the Away Mode section
- Select your Away until date.
- Click Turn on away mode.
