Waitlist for full meetings

Step-by-step help for joining, managing, and responding to waitlist offers

Sometimes meetings reach full capacity, but that doesn’t mean your chance to attend is over. Our waitlist feature gives you an opportunity to join if someone cancels or a spot opens up. Here’s everything you need to know to make the most of it.

What is the waitlist and how does it work?

The waitlist is a feature that allows you to reserve a spot when a meeting is already full. By joining the waitlist, you're placed in line for a chance to attend if a seat opens up before the meeting begins. 


Here's how the process works:

  • You're placed in order behind other waitlisted members.
  • If someone cancels or a seat opens up, we’ll offer that seat to the next member in line.
  • You’ll be notified if a seat is being offered to you.
  • You’ll have the option to accept or decline the offer within a limited time window. 
  • If you accept, you'll complete your registration and secure your spot.
  • If you decline or the offer expires, the seat will be offered to the next person on the list.

How do you add your name to the waitlist for a full meeting?

When a meeting is full, you'll see Meeting Full on the meeting tile. If the meeting offers a waitlist, you will see the Join Waiting List button.

Click on this button to add your name to the meeting's waitlist. You will see a message confirming that you've been added to the waitlist. 

How will you be notified when a seat opens?

We make it easy to stay informed by offering multiple notification options:

Text messages

If you've opted in for text messages, you will receive a message like this:

Your wait is over! You are being offered a seat for the meeting on HeyPeers…
This seat is being held open for you until [expiration time].
Tap here to accept or decline the offer.

Emails

If you have email notifications turned on, you'll receive the following notification by email.

Member Dashboard

You will see the open seat invitation on the Member Dashboard in the Your Next Meetings section.

My Meetings page

The open seat invitation will also be displayed on the On Waiting List tab on the My Meetings page. To accept the seat and register for the meeting, click Register.

Accepting or declining a seat offer

When you’re offered a seat, you’ll have two clear options: ACCEPT or DECLINE.



Be sure to act quickly! Your offer is time sensitive and includes an expiration date. Once the deadline passes, the seat will be offered to the next person on the waitlist.

If you choose to accept the seat, click Accept. You will then be brought to the meeting registration pages to complete the subscription survey (if you haven't done so already), registration, and payment (if applicable).

If you choose not to accept the seat, click Decline. The seat will then be passed to the next person in line.

What happens if your seat offer expires?

If the seat offer expires before you take action, the seat will be offered to the next person on the waitlist. The meeting will also drop off your waitlist page on the My Meetings page.


But you’re not out of luck! You have two options for adding yourself back onto the waitlist. Both of these options will restore your original place in line.


  • OPTION 1
    If you click on the Accept option in the open-seat notification email or text message, you will be brought (after login) to an “Invitation Expired” page. On this page, you will be provided the option to rejoin the waitlist.

  • OPTION 2
    You may also simply select the Join Waiting List option for the meeting on any of the meeting calendars. This will add you back to the waitlist.


NOTE: You may still be offered the seat if the following conditions exist.



  1. There is no one else on the waitlist AND

  2. The seat has not yet been taken by another member (through meeting registration)

In this case, you will see the following screen giving you the option to register for the meeting despite the expired invitation.

Don't forget to try the Standby Room!

Being on the waitlist also gives you access to the Standby Room, which opens 10 minutes before the meeting begins. If you haven’t been offered a seat by then, you can enter the Standby Room and try to grab a last-minute spot—no guarantees, but it's worth a try!
